1. Purpose

The purpose of this procedure is to ensure that we conduct responsible business practices towards all employees and stakeholders, who must be able to safely report concerns or complaints related to working conditions, ethics, human rights, environmental impact, and company conduct.


2. Who can submit a complaint

This procedure applies to:

    • Employees

    • Freelancers and consultants

    • Suppliers and their employees (e.g. factories and producers)

    • Customers

  • Other relevant stakeholders
 

3. What can be reported

Examples of issues that can be reported:

    • Harassment, discrimination, or unsafe working conditions

    • Violations of human rights internally or in the supply chain

    • Forced labour or child labour

    • Unethical business practices

    • Environmental violations

  • Breaches of internal policies or Code of Conduct
 

4. How to submit a complaint

Complaints can be submitted via:

    • Anonymous form
    • Directly to Joachim Trend Hansen, Lena Trend, or your immediate manager

We accept anonymous submissions in the complainant’s preferred language.


5. Protection against retaliation

We do not tolerate retaliation against individuals who submit a complaint in good faith.

Any form of retaliation will be treated as a serious violation.


6. Handling of complaints

    • All complaints are recorded confidentially

    • Acknowledgement is provided within 5 working days (if not anonymous)

    • A responsible person (one of those mentioned in section 4) is assigned to the case

    • Investigation and assessment are typically carried out within 30 days

    • We communicate our conclusions and planned actions, or explain why the complaint was not substantiated

  • Finally, we confirm the resolution or next steps
 

7. Investigation process

We will:

    • Collect relevant documentation

    • Interview relevant parties

  • Ensure an objective and fair assessment
 

8. Outcome and follow-up

Possible outcomes include:

    • Corrective actions

    • Disciplinary measures

    • Changes in processes or business partners

The complainant will be informed of the outcome where possible.


9. Specific to the supply chain

We recognize that risks often occur in production. Therefore:

    • Suppliers and factory workers can use this procedure

    • Complaints can be submitted anonymously and without fear of retaliation

  • We will work with suppliers on improvements rather than immediate termination, where responsible
 

10. Documentation and learning

All complaints are documented and analyzed to:

    • Identify patterns

    • Improve working conditions and processes

  • Strengthening our ESG and B Corp efforts
 

11. Communication and accessibility

This procedure:

    • is made available to all employees and relevant stakeholders

    • is translated as needed (e.g. for supplier countries)

  • is reviewed annually
